Problem statement

The operations team managed all workflow through email, spreadsheets, and in-person follow-ups, which was extremely inefficient. Critical tasks were lost in email chains or forgotten. Managers had no visibility into what was being worked on, blocked, or overdue. Approvals took days because stakeholders had to be chased down. Reports required manual data compilation from multiple spreadsheets. New team members didn't know how processes worked because there was no documentation. Decision-making was slow because there was no clear view of operational health.

Solution approach

We built a centralized workflow platform with clear task states and automatic transitions. Tasks are created with deadlines, priorities, assignees, and descriptions. Whenever a task changes state, notifications go to relevant team members via email and Slack. Managers have a dashboard showing task distribution, aging tasks, bottlenecks, and team workload. Historical data lets them see trends - which types of approvals take longest, which team members finish fastest, where delays typically happen. Automated reports run weekly and are emailed to leadership. The system integrates with existing tools (Google Calendar, Slack, Email) for seamless adoption.

Results
